Progress and Financial Reporting
Interim Progress Report Guidelines
Due September 30 by 4:00 p.m.
Based on feedback from previous awardees, the Burroughs Wellcome Fund is allowing first-year awardees* to submit an abbreviated version of the BWF SSEP annual progress report. This interim progress report will be due September 30, 2009 by 4:00 p.m. Eastern Time, and will be used by the SSEP advisory committee and BWF staff to assess the progress of the project and to approve the second grant payment.
Only first-year awardees* should follow the Interim Progress Report Guidelines. All other SSEP awardees should submit the full progress report (SEE ANNUAL PROGRESS REPORT GUIDELINES).
*Currently, a first-year awardee is any project notified in November 2008 of their award.
SSEP annual progress reports are due by September 30, 2009, by 4:00 p.m. Progress and financial reports should be submitted via email.
The SSEP interim progress report has five (5) parts:
- Cover Sheet
- Progress Plan (including update on project plan, student participation, description of activities, and project staffing)
- Evaluation
- Evaluation instruments
- Financial Report
Specific instructions for each section of the report follows:
I. Cover Sheet
Complete the Progress Report Cover Sheet and include it as the first page of your progress report. A Microsoft WORD version of the Cover Sheet is available below.
II. Progress to Date
A. Project Plan - Provide a brief overview of the project plan. If, for the coming year(s), you anticipate any significant changes to planning strategies or activities from those you proposed in your application for the SSEP grant, briefly describe the anticipated changes and the reasons for the changes.
B. Student Participation - Describe the number and type of students you currently expect to recruit for participation in your project. Also describe the steps you have already taken to recruit and select students.
C. Activities - Describe proposed student activities and how they relate to the three goals of SSEP:
Goal 1: Improving students' competence in science
Goal 2: Nurturing students' enthusiasm for science
Goal 3: Interesting students in research or other science-related careers.
Also describe the efforts that have been made to provide the full set of activities projected in your application during the first year.
D. Project Staffing - Describe progress in selecting staff (including mentors), including names and roles of those who are already in place.
III. Evaluation
For each of the three SSEP goals describe the kind of data you plan to collect (e.g., surveys, interviews) and who you plan to collect it from (e.g., students, parents, teachers); and how you plan to analyze the data (i.e., what quantitative or qualitative methods will you use).
Goal 1: Improving students’ competence in science
Goal 2: Nurturing students’ enthusiasm for science
Goal 3: Interesting students in research or other science-related careers
IV. Project Evaluation Instruments
Include copies of all evaluation instruments (e.g., surveys, interview and observation protocols) that have been developed so far to supplement data obtained from the SSEP Student Feedback Survey.
V. Financial Report
Include an actual accounting of how the SSEP award dollars have been used to-date. Provide general categories (e.g. “Meals and Snacks” might be one category, but it need not be broken down into how many breakfasts, lunches, dinners, and snacks.) Note in narrative form projected changes to the budget. A guide/form is available in Excel (see below) for your convenience. The file must be converted to PDF and may be submitted as a separate document.
Report Format
Submit the completed Cover Sheet with your Progress Report. Number each subsection separately and use 12-point font size with one inch margin on all sides. Combine all subsections (four total) into one PDF file, including the Cover Sheet. The Financial Report may be submitted as a separate PDF file.
